What is a Room Representative?

Room Reps are the ambassadors of SCC. They help guide families through the SCC education experience. Room Reps embody the ethos of SCC: they are kind, they are accountable, and they are contributors. Room Reps are strongly encouraged to attend monthly PRT meetings.

What do Room Representatives Do?

The following is a list of items that PRT reps are responsible for during the school year. It also provides further details and suggestions for each task. Since each grade level/educator has different needs, use this as a guide and adjust based on the needs/requests of the educator you are supporting.

  • We recommend that Room Representatives begin the school year by scheduling a meeting with their educator(s) in order to determine how they may best be of support. Since each educator and grade level has different needs, the list below includes a few general questions for the meeting:

    • Which holidays/special occasions do you typically celebrate in the classroom?

    • How are learner birthdays celebrated in your classroom?

    • Will you be planning classroom/grade level events, or would you like assistance?

    • Are there any school-wide events that need extra PRT assistance (i.e. Back-to-School Nights, Learner Exhibitions, Writer’s Celebrations, etc.)?

  • Room Reps help facilitate communication between the educator and the classroom community. Please work with your educator to find out what is the best way to help support classroom-specific communications.

  • Room Reps will determine how to acknowledge and celebrate their educator on their birthday (a small gift and/or treat), before the Winter Holiday (generally the largest gift of the three), and at the end of the school year (a medium-sized gift). Please note that no cash gifts may be given. For gifting suggestions, please consult the annual Favorite Things survey responses. This survey is usually sent by the administration during the first weeks of school.

  • In order to foster community, reps are encouraged to work with fellow grade level reps to organize social events. Each Room Rep grade-level team is responsible for assisting with school-wide social events during the year. Room Reps are encouraged to create additional social events for their own room/grade level throughout the year.

  • Each family is asked to contribute funds to support staff recognition, class parties, and social events. Once voluntary contribution money is collected, the PRT Treasurer will issue a check to each PRT class treasurer. The Treasurer will maintain class funds for parties and educator gifts. It is helpful to inform/notify parents whenever voluntary contributions are being used.

  • Although Back-to-School Nights are primarily educator-driven events, Room Reps should plan to introduce themselves, explain their role in the classroom, and be available to answer family questions regarding volunteering, voluntary contributions, fundraising, field trips, etc.

  • The PRT provides meals for staff during events like Back-to-School Nights, Learner Exhibitions, and Staff Appreciation Week. Room Reps are asked to contribute to these pot-luck events.

  • Room Reps work with the Volunteer Coordinator to assist with filling volunteer needs in the classroom and in the larger school community. They encourage families to contribute to the community through volunteering and let them know about the many opportunities available.

  • Room Reps help communicate the importance of financially supporting the school via the San Carlos Education Foundation.
